WazBot Concepts

This glossary explains the core terms used across WazBot and this documentation. Understanding these concepts makes the rest of the guides much easier to follow.

Terminology
Throughout the documentation we use the term AI Agent for the AI that replies to your customers. Wherever the application shows a different label, the application is the source of truth.

Accounts & access

Business
The organization or workspace that uses WazBot. Your plan, team members, WhatsApp numbers, and data all belong to a business.
User
An individual who signs in to WazBot. A user can belong to one or more businesses, each with its own role.
Membership & Role
A membership is a user’s access to a business. The role (Owner, Administrator, Manager, Agent, Viewer) determines what that user can do.

People & conversations

Customer
A person your business talks to on WhatsApp. WazBot keeps a profile and conversation history for each customer.
Lead
A potential customer captured through a funnel, form, or conversation that your team can follow up with and qualify.
Conversation
A WhatsApp chat thread between your business and a customer. WazBot maintains context within each conversation.
Message
A single inbound or outbound WhatsApp message within a conversation.
AI Agent
The AI that understands and replies to customers on your behalf. Each AI agent has its own instructions, tone, knowledge, and behavior settings.
Knowledge
The business information — documents, web pages, and manually added entries — that an AI agent can draw on when answering questions.

Growth & operations

Funnel
A guided journey (one or more pages) that turns visitors into leads and customers.
Form
A set of fields used to collect information from visitors or customers, often as part of a funnel.
Campaign
A coordinated outreach to a group of customers or leads, for example an announcement or promotion.
Automation / Workflow
A set of rules that run actions automatically in response to events, such as tagging a lead or sending a follow-up.
Task
A to-do item assigned to a team member, often created automatically by an automation or during a conversation.

Plans & usage

Subscription
Your active plan and billing arrangement with WazBot.
Entitlement
What your plan grants you — access to certain features, resource limits (such as number of AI agents), and usage allowances (such as AI interactions per period).

Resource limits and usage limits are different ideas. A resource limit caps how many of something you can have (for example, active AI agents). A usage limit caps how much you can do in a billing period (for example, AI interactions). See Billing for details.
